Challenges with Recruitment:

As Andras's portfolio expanded, the demand for recruitment also grew, extending beyond Belfast to various locations across Northern Ireland. Before this expansion, their recruitment process was primarily manual, leading to the following challenges:

Manual and Time-Consuming Process: The recruitment process was largely manual, involving extensive administrative work through phone calls, emails, spreadsheets, and manual data tracking. This made the process time-consuming and cumbersome.

We identified the criteria for the various positions, managers then had to manually update a spreadsheet to indicate, yes, this person has met this criterion and not this criterion. Managers needed to record whenever candidates were invited to interview, add interview scores and ensure that the interview notes were saved in the relevant recruitment folder. Another system was then accessed to send offer letters and contracts, so very time-consuming, very manual and a lot of admin work involved.

Compliance and Data Collection: Meeting legal requirements and Quality Commission mandates for gender and community background monitoring for a potentially large number of applicants created additional complexities

It is a requirement that we monitor the gender and the community details for the Northern Ireland Equality Commission for all staff and all applicants, which could be over 6000 applicants to monitor. The process involved checking what monitoring returns were returned and emailing candidates' with the monitoring forms if they were not submitted with their application in order for HR to gather the relevant information. This was a very time-consuming process that required a lot of HR admin time.

Fragmented process: After every hiring stage, information has to be collected and stored in multiple spreadsheets and contracts are sent through a different system.

The Solution

In 2022, Andras sought a solution to their critical challenges on the recruitment side. Though they evaluated multiple HRS systems, but faced a challenge as they didn't interact with their tech stack. At these outreach events, they've introduced QR codes that link to branded career and job pages.

Instead of generic job templates, Andras customises each job listing, creating a unique and appealing candidate experience. They're also adding a personal touch by including a video message from the director, enhancing candidate engagement and the overall application process.
